Automatic, interval specific, notifications are configured at the building level. While not mandated, it’s generally considered a best practice to setup your notification protocol prior to entering in you COIs. The COI Manager also has the ability to manually send reminders and expiration notices directly from the COI record.
This article describes how to setup a notification for an upcoming expiration of a certificate of insurance.
To setup an automatic notification:
- Click Go To > Certificate of Insurance > COI Admin.
- Click the Notifications tab.
- Choose a Property and the days prior to COI expiration that you want the system to notify the recipient.
- Choose the group of Property Management employees (named COI Administrators) you want to notify about COI expirations and new COI document uploads made by Tenants and Vendors.
- Note: To edit the members of a group click Edit Group.
- Note: If you want the notification to go to the Tenant and/or Vendor, select that option for each notification increment.
- Choose your Tenant and Vendor COI contacts to receive expiration emails by clicking Manage Tenant/Vendor COI Contacts. Click the (+) icon to the left of any individual name to add them to the notification group.
- (Optional) The notifications Subject and Additional Information fields can be edited to send a customized message.
- Click Save.
